Utilizing Google Chromebox for Meetings with Hangouts

Google's Chromebox for Meetings is a videoconferencing system including a Chromebox (a small, TV-connected computer), a high-resolution camera, a combination microphone and speaker, and a remote control. It allows up to 15 participants to join a meeting or lecture, including remote connections from outside of the NCSSM campus. It also enables participants connected to the device, either remotely or present in the room, to wirelessly present their devices' screens to everyone else who is participating. The Chromebox integrates with the Google Apps being used at NCSSM, and supports connectivity from any type of device that can run the Google Hangouts site or application, including PCs, Macs, Chromebooks, and iOS and Android mobile devices as well. Please use the following instructions to connect to a Chromebox for Meetings unit for interactive video conferencing in certain conference rooms at NCSSM:

How to connect:

  1. (In the room) Turn on the TV or projector. If you do not see the Google Chromebox main screen, make sure to press Input on the remote until the Chomebox screen appears.
  2. On a participating computer, visit https://hangouts.google.com/
    1. If connecting from an Android device or iOS device, download the free Google Hangouts app from the Google Play store or App Store, respectively.
  3. Note: If you have an NCSSM Google account, make sure you are logged into that account rather than your personal Google account, if you have one.
  4. Select the Video Call option.
  5. Select the appropriate meeting on your calendar to connect. If you are creating a new Hangouts meeting or would like to connect to a meeting not on your NCSSM calendar, enter the name of the meeting you would like to use at Enter a Hangout name.
  6. (In the room) On the Chromebox remote, use the navigation pad to select the meeting on the room’s calendar and press the center button, or alternately use the full QWERTY keyboard on the back of the remote to manually type in the name for the meeting.
  7. Once connected to the meeting on your computer, you will have a number of options available.
    1. To send a text chat to other participants, you can use the Chat button.
    2. To share your screen to other participants, such as for a presentation, you can use the Screenshare button.
    3. You can select from options in the toolbar at the top of the screen.
    4. These include, respectively: Invite People, Mute microphone, Turn camera off, Adjust bandwidth usage, Settings, and Leave call.
  8. (In the room) To end the meeting, press the Leave call button (down-facing red phone icon), which is also on the Chromebox remote.
  9. Please turn off the TV or projector and also leave both remotes (TV/projector and Chromebox) in the room.
